Guidelines for Tutors V1.5
1. Call VTTS only when necessary, prefer to communicate through WhatsApp only.
2. Call the client as soon as you get details from us or at the time mentioned in the SMS.
3. Avoid calling clients before 11 AM or after 9 PM, unless specified in client detail SMS.
4. If the client does not pick up your phone call, drop a WhatsApp message for him/her.
5. Wait for around 2 hours to call again or ask through WhatsApp message, when to come for the demo class.
6. WhatsApp VTTS for every update like when you talked to the client? How have you fixed demo class timings – on-call or through WhatsApp, when are you going for a demo class if the client is not fixing the demo class what is the reason for it, etc?
7. For the first two classes, always confirm the timing through a call or WhatsApp before going there, around 1-2 hours before your scheduled time.
8. If the client reschedules the demo class or does not confirm with you after the demo class always update VTTS.
9. Never discuss fee matters with the client, politely tell the client, kindly discuss all fees-related matters with VTTS and study-related matters with me. Always disclose your charges to the client which are higher, (at least Rs. 50 to 100 phr) compared to what VTTS has fixed. Try to change the topic, discuss your quality, what you can do for the student, and how you can change his or her result. Talk about the same cases handled by you by giving their references. Try to convince the client why you are the best among the rest at this charge. Tell the client, that VTTS has told you very reasonable charges if you call me directly then my charges may be higher. Already I charge this amount (tell higher amount) for the same class at this place.
10. Immediately after the demo class, send the report to VTTS through WhatsApp/website or by call if it is urgent or necessary (when the client does not fix the next class or asks you we will fix it on the phone or any type of excuse for not fixing next class).
11a. When the client confirms you after taking the demo class, confirm the fee fixed by VTTS and ask them, kindly confirm to VTTS that you are interested to continue with me.
11b. As soon as your class is confirmed, either by you or VTTS, a WhatsApp group will be created by you or VTTS. The objective of this group is to have all the conversations between the Tutor, Student, Parent and The VTTS in one place. All the conversations between the client and you will be done in this group only. From today onwards no tutor is allowed to communicate privately with the client. If a client tries to contact you privately, reply to them on this WhatsApp group only so that they switch their conversations to this group.
11c. When you collect fees from the client, confirm it on this group with a thank-you message. When the scheduled classes are completed, post a picture of the class record in this group.
12. If the client call you to change timings or cancel the class, always ask the client as you have to manage your schedule by asking other students to reschedule timings, so always WhatsApp these types of requests in the group. If you have accepted their request, WhatsApp it, in the group that the client requested you to reschedule/cancel the class.
13. For the first few classes always visit a client with a decent dress, and be punctual, if you are getting late drop a WhatsApp message, and try to take the class at a fixed regular time/day unless specified by the client.
14. Try to avoid taking phone calls or using the phone during class. If you want to attend a phone call try to end it within 1 minute.
15. If you are stuck on a particular question/topic, cleverly change it by asking students, for doing these types of questions we first need to understand this. So we will do it later. Prepare that question(s)/topic before the next class. You may also take the help of VTTS.
16. Every tutor has to send a Whatsapp/website report at the end of each month (before the 5th of next month) of the number of classes held for every tuition.
17. The fee of at least one tuition of every tutor is collected by VTTS. From which client fee is collected by VTTS will be informed to you in advance. You will not collect fees from that client in any case even if the client tries to give it in cash to you. In any case, if the fee is collected by you from such client(s) then you have to give that whole amount to VTTS within 24 hours either in cash or digitally.
18. VTTS issues a digital receipt to every client for fees paid to the tutor or VTTS. When you collect fees from tuitions for which we told you to collect fees yourself, you must inform VTTS, how much you have collected and for which period/month / no of classes. So that accurate digital receipt can be sent to the client timely.
19. If the client calls you after giving a gap of a few days/weeks/months of the demo class then it is your responsibility to update us as early as possible.
20. Last but not least, never hide anything from us. We need to know everything related to our assignments directly or indirectly. It is necessary for a long relationship. Update us through WhatsApp only so that we can keep track of it.
